Small groups, fixed kit and a lot of trust

A SUP trip runs on tight numbers. You have a set number of boards, a guide ratio you won't stretch and accommodation booked months ahead. Guests are often newer to the water than surf guests, so they ask more before they commit, and you need to know more about them before they arrive.

Boards and places are finite

Eight boards means eight guests. Set the limit once for each departure and the trip closes when it is reached.

Some guests bring kit, some hire

Offer board, paddle and drysuit hire as extras with their own stock, so you know what to load on the trailer.

Safety details before departure

Your questionnaire asks about swimming ability, medical notes and emergency contacts, and goes out with the waiver after booking. A reminder follows if it isn't done in time.

What Roamer takes off your plate

If this is your week

  • Enquiries that take five emails to become a booking, because every guest asks the same things about ability and kit.
  • Places held on a promise while a deposit is "on its way".
  • Not knowing how many hire boards you need until the week before.
  • Medical forms and waivers arriving as phone photos in WhatsApp.

Departures with fixed places

Each trip has a set number of places. Your website shows live availability and a full departure stops taking bookings.

Deposits and balances

A place is confirmed when the card deposit is paid. Balance reminders go out automatically before the due date.

Kit hire and extras

Boards, paddles, drysuits and transfers are added when guests book, each with its own price and limit.

Waivers and safety questionnaires

Your waiver and a questionnaire covering ability, medical notes and emergency contacts are emailed to guests after booking, with the answers on your departure list.

FAQs that answer before they ask

Add your FAQs to each trip so questions about ability, kit and what is included are answered before a guest emails you.

Guest emails and documents

Confirmations, invoices and payment reminders go to every guest on schedule, with your branding.

What a booking looks like

  1. 1

They find a departure on your site

Live places and your FAQs sit alongside the trip, so most questions are answered before they book.

  2. 2

They add the kit they need

Board, paddle and drysuit hire are chosen when they book and taken out of your stock.

  3. 3

    They pay a deposit

A card deposit secures their place. The waiver and safety questionnaire follow by email.

  4. 4

You know who and what to plan for

Guest list, hire kit and outstanding balances are in one place, with reminders already scheduled.

Costs nothing in the weeks you're not running

Roamer takes 3% of the bookings that come through it. No monthly fee, no setup cost and no contract. Card processing by Stripe is separate.

Questions operators ask

Can guests hire boards and kit as part of the booking?
Yes. Hire kit is set up as extras with its own price and limit, and guests add it when they book.
How much does Roamer cost?
3% of the bookings you take through it. There's no monthly fee, no setup cost and no contract, so a month with no bookings costs nothing. Stripe's card processing fee is separate.
Can I keep my existing website?
Yes. You add the Roamer availability widget to the site you already have and guests book from there. No rebuild needed.
How long does it take to set up?
You add your dates, prices, rooms and extras, and we go through it with you on a call so your first departure is set up properly.
What happens when a guest cancels?
Your cancellation policy applies, and you choose whether to refund the guest, move them to another departure or issue a voucher. If you refund them, Roamer refunds its commission on the amount you give back, so you only pay on money you keep.
