Deposits and balance payments

A deposit when they book, and a balance you don't have to chase

Guests pay a deposit by card when they book. Roamer reminds them when the balance is due, so you're not checking your bank account and writing emails.

3% when guests book. No monthly fee.

Chasing money is the worst part of the job

A guest says yes, and then the admin starts. You send your bank details, wait, and check your bank account. Weeks later you work out who still owes what and email each of them by hand.

The deposit is paid at the moment they book

By card, through Stripe. No payment link to send afterwards.

Balance reminders send themselves

Each with a payment link, so guests can pay without writing to you.

You can see who has paid

A report shows what has come in and what is still due, for reconciling balances and planning cash flow.

How it works

  1. 1

    Set your deposit rules once

A deposit per guest and a balance due date. Change them on any trip that needs something different.

  2. 2

Guests pay the deposit when they book

Their place comes off your availability straight away.

  3. 3

    Roamer asks for the balance

By default it is due 30 days before departure, and you can change that. The guest pays from a link in the email.

Three emails, sent for you

  1. Two weeks before it is due

    Balance reminder

A heads-up that the balance is coming, with a link to pay early.

  2. On the due date

    Balance due

The balance and a payment link, 30 days before departure unless you set it differently.

  3. A week later, if it is missed

    Balance overdue

A follow-up with the same link. What happens after that is your decision.

What a booking looks like

A guest books a place on the 6 to 13 June surf week and pays the £250 deposit there and then.

The £750 balance is due 30 days before departure. Roamer's fee on this booking is £30.

What changed for one operator

Before

At balance time the operator went through the bank account to work out who had paid, then emailed everyone else by hand.

After

Reminders go out on a set schedule. On the last trip, a full camp of 6 guests had all paid within 48 hours of the reminder.

Guests paying from abroad

Guests pay by card in more than 40 currencies, so nobody has to arrange a bank transfer from another country.

When a guest cancels

Your cancellation terms are set on each trip. If you refund a guest, Roamer refunds its fee on the amount you give back, so you only pay on money you keep.

What it costs

Roamer takes 3% of the bookings you take and nothing in a month with no bookings. Stripe's card fee is separate: 1.5% + 20p for a standard UK card.

Questions operators ask

Can each trip have its own deposit?
Yes. You set default deposit rules and override them on any trip.
Can a guest pay in full when they book?
The deposit is a fixed amount, with the balance paid before departure. A guest who books after the balance due date pays in full.
What if a guest doesn't pay the balance?
They get an overdue email a week after the due date. After that it is your call, with the guest: move them to a voucher for a future booking, or cancel. A place you release is offered to anyone on the waiting list.
Where does the money go?
To you. Roamer doesn't handle the money. Its 3% is taken at source as a split payment.
